This Privacy Policy explains how Cognity SIA (“Cognity”, “we”, “us”) collects and processes personal data in connection with the Cognity platform (the “Platform”). We process personal data in accordance with the General Data Protection Regulation (EU) 2016/679 (“GDPR”).

2. Personal Data We Collect
- Account data: name, email, company name, user credentials.
- Billing data: invoice details, VAT number (if provided), payment status. (Card details are handled by payment providers such as Stripe.)
- Usage data: logs, device/browser info, interaction with Platform features.
- Customer-provided content: information you submit via forms or support channels.
3. Business Data Uploaded to the Platform
Customers may upload business datasets (e.g., sales, products, inventory, BOM/components). Such data may include personal data (for example, employee names in notes). In these cases, the customer is typically the Data Controller and Cognity acts as a Data Processor. See our DPA.
Core forecasting uses internally hosted XGBoost models. Forecast training and prediction run inside Cognity infrastructure. External AI is used only for optional natural-language explanations of already computed forecast outputs.
4. Purposes and Legal Bases
- Provide the Platform (contract performance)
- Billing and payments (contract + legal obligation)
- Security and fraud prevention (legitimate interests)
- Product improvement and analytics (consent where required, otherwise legitimate interests)
- Support communications (contract performance)
5. Sharing and Subprocessors
We do not sell personal data. We may share data with service providers (“subprocessors”) to deliver the Platform, such as:
- Payment providers (e.g., Stripe)
- Hosting / infrastructure providers
- Email delivery providers
- Analytics (optional)
Where required, we use appropriate safeguards for international data transfers.
6. AI Usage and Forecast Explanations
Cognity does not send raw sales transactions, supplier lists, customer lists, SKU-level datasets, detailed purchasing plans, or uploaded source files to external AI providers for forecast explanations. If external AI is used, it receives abstracted or aggregated forecast explanation inputs, such as grouped feature contributions for pricing, seasonality, trend, and promotion impact.
External AI providers used for explanations must be configured or contractually required not to use submitted data for model training.
AI-generated explanations can be disabled for organizations with stricter internal data policies.
7. Cookies and Analytics
We use necessary website storage for core site functionality and, only with your consent where required, analytics technologies such as Google Analytics to understand site usage and improve the website. You can choose whether to allow analytics cookies through the cookie banner shown on the site.
8. Data Retention
We retain account and billing data as long as necessary to provide the Platform and comply with legal obligations. Customer data is retained during the active subscription and up to 30 days after termination unless longer retention is required by law or requested by the customer for export.
9. Security
We implement technical and organizational measures intended to protect personal data against unauthorized access, alteration, disclosure, or destruction. Access to customer data is limited to people and systems that need it to provide, support, secure, and maintain Cognity. More detail is available on our Security & Data Handling page.
10. Your Rights (GDPR)
